By default the queue system sends WhatsApp tickets and calling alerts from a shared Bizcloud number. With your own WhatsApp Business account, every message carries your business name and your number instead, and customer replies land in your inbox, not ours.

Why It Matters

Customers save your number, not ours

Nothing changes on the queue side. What changes is who the customer sees on their phone, and where their "I'm running late" goes.

Your business name on every ticket

The chat is headed by your business name and number. Customers recognise it, and a saved contact means the next visit's ticket arrives in a thread they already know.

Replies reach your team

When a customer replies to their ticket, the message lands in your WhatsApp Business inbox. On the shared number, replies go to a line that is not yours.

Your account, your billing

Messages are billed to your own WhatsApp Business API account rather than a prepaid platform balance, and you can see the sends and delivery status there.

Sent when a ticket is issued, when a customer is transferred to another department, and when an appointment is checked in.

You sign up for the WhatsApp Business API account and approve the message templates. We handle the configuration.

Contact us

Tell us the company and branches to switch and the number you plan to use. We confirm the setup fee and what is needed.

Subscribe at iwsapp.my

Open a WhatsApp Business API account at iwsapp.my and register your number on it. Their team guides the Meta verification.

Approve the message templates

We supply the queue ticket and calling templates. They are submitted on your account so WhatsApp approves them under your business name.

We connect and test

Our team links your account to your Cloud QMS company and sends test tickets with you. From then on, every message goes from your number.

What you need

A WhatsApp Business API account and a number to put on it

The account is with iwsapp.my, an authorised WhatsApp Business API provider in Malaysia, and is billed separately from your queue system. The number must not already be active on WhatsApp; a new line or an existing business line that is free to move both work.

  • An active Cloud QMS or WhatsApp QMS subscription

  • Message templates approved on your account, which we supply

Setup fee and ongoing costs

A one-time setup fee covers template registration, connecting the account to your company and testing. Message charges after that are between you and iwsapp.my.

Own number questions

Do I need a new phone number?

You need a number that is not currently active on any WhatsApp account. It can be a new number or an existing business line that is free to move. iwsapp.my guides you through registering it.

Do I still pay the platform message rate?

No. With your own number, messages are billed to your iwsapp.my account at its rates and your prepaid platform balance is not used. Your Cloud QMS subscription per branch is unchanged.

Which messages will come from my number?

Every WhatsApp the queue system sends for your company: queue tickets, transfer notices, appointment check-ins, calling and recall alerts, and appointment reminders if you use them.

Can the wording of the messages be changed?

The templates are registered on your account, so wording can be adjusted when they are submitted, as long as the queue details we fill in (number, counter, branch, link) stay in place. Tell us what you would like before step 3.

We have several branches. Does each one need its own number?

No. Sending is set per company. Branches under a head office can follow the head-office setting, or a branch can have its own account if you prefer. Tell us how you are organised and we will set it up to match.

Is there a setup fee?

Yes. Our team registers your templates, connects the account to your Cloud QMS company and tests it with you. Contact us for the fee and current requirements.

Can I switch back to the shared number?

Yes. Sending mode is set per company by our team, so you can return to the shared platform number at any time.
